This policy explains how Maths Tutor Coventry collects and uses personal information when you use our app and tutoring service, and the choices and rights you have.
Who we are
Maths Tutor Coventry is run by Oliver King, trading as Maths Tutor Coventry (“we”, “us”). We are the “controller” of your personal information.
- Address: 70 Meadow Road, Wolston, Coventry CV8 3JJ
- Email: hello@mathstutorcoventry.com
What we collect
Parents and guardians: your name, email address, mobile number and login details; your child's name and school year; lesson bookings, cancellations and attendance; payments, refunds and receipts; and messages you send us. Your card is saved by our payment provider, Stripe — we never see or store your full card number. We only see the card type, last four digits, expiry and issuing country.
Children: we only hold what we need to arrange tutoring — first and last name, school year, the tutor they're matched with, and lesson times and attendance. This information is provided by their parent or guardian.
Tutors: your name, email address, mobile number, hourly rate, profile description, availability and lessons taught. To pay you, Stripe collects your identity and bank details directly — we don't store them.
Technical information: a secure login cookie, and — only if you turn on notifications — a notification token for your device.
How and why we use it
- To provide the service you've asked for (our contract with you): matching students with tutors, bookings and reminders, charging for lessons, paying tutors, receipts and handling cancellations and complaints.
- To meet legal obligations: keeping financial and tax records, and responding to lawful requests.
- For our legitimate interests: keeping accounts secure, preventing fraud and misuse, checking a card can pay for a lesson before it happens, and improving our service.
- With your consent: notifications on your device. You can turn these off at any time in your device or browser settings.
We don't sell your information, and we don't send marketing without your permission.
Who we share it with
Only with the people and services needed to run Maths Tutor Coventry:
- Your tutor sees the student's name and year, lesson times, and the parent's name. Tutors don't see payment details or our fees.
- Stripe — card payments and tutor payouts.
- Supabase — our secure database, hosted in London.
- Vercel — hosts the app.
- Resend — sends our emails, from servers in Ireland.
- Apple, Google and Mozilla — deliver notifications to your device, if you turn them on.
- IONOS — our email provider for messages sent to hello@mathstutorcoventry.com.
These providers act on our instructions under data-protection contracts. Some may process information outside the UK (for example in the EU or US); where they do, they use legal safeguards approved under UK law, such as the UK International Data Transfer Agreement or the UK–US data bridge.
How long we keep it
- Account details: while your account is open, and up to 12 months after it closes.
- Lesson, payment and refund records: 6 years, as required for tax and accounting.
- Notifications in the app: up to 12 months.
Keeping it safe
Information is encrypted in transit and stored with providers that meet recognised security standards. Each person can only see their own information, and administrator access requires two-step verification.
Cookies
We only use cookies that are essential to keep you signed in securely. We don't use advertising or tracking cookies.
Your rights
You can ask us to: give you a copy of your information; correct it; delete it (unless we must keep it by law); restrict or object to how we use it; or transfer it to you or someone else. Where we rely on your consent, you can withdraw it at any time. Email hello@mathstutorcoventry.com — we'll respond within one month.
If you're unhappy with how we've handled your information, please tell us first. You also have the right to complain to the Information Commissioner's Office: ico.org.uk or 0303 123 1113.
Changes to this policy
If we make important changes we'll tell you in the app or by email. See also our terms of service.
